Project Optima – Interim Process
Monday, 27 March 2023 / Albury Wodonga Health
Exciting news is that Optima has been made live and staff will be paid from the Optima system commencing this week. This was only possible due to the extensive efforts by all Roster Managers and Roster Creators – thanks to all of you out there.
In order to allow time to transition our pay processes from RosterOn to Optima, this week’s pay will be processed Tuesday & Wednesday (instead of Monday & Tuesday). This means that you will receive your pay one day later than usual (ie Wednesday night or Thursday)
The implementation of Employee Online (to allow you to enter leave requests, duty requests and duty swaps) will follow the Optima implementation before the end of April. SEEDS training will be available soon. In the meantime please contact your Manager if you need to enter any leave requests, duty requests or duty swaps.
The implementation of a new rostering systems is accompanied by a small risk that staff payments may be impacted. Whilst we have conducted extensive testing, this risk is still present. If you have any issues with your pay this week, please lodge a ticket with “Optima” in the header. We will review these immediately and will be in touch to discuss how we will rectify this. Ringing Payroll will not resolve your issue any faster. We have a process in place to ensure Optima tickets are addressed with the highest priority.
- Submit your roster requests directly to your Manager via an email.
- Manager/Optima Team will enter your requests into Optima on a daily basis.
- Keep an eye out for the Optima Employee Online training via Seeds which will be available mid to end of April.
- Complete the training via Seeds so you know how to submit roster requests via the new system.
- End April - Start submitting your roster requests via Optima Employee Online (BAU just using a new system).
- We understand that this is a different way to submit your requests and we appreciate your support and understanding during this ‘go live’ period with our new fabulous rostering system ‘Optima”.
Thanks for your patience as we move towards finalising and embedding the Optima implementation.
